Privacy Policy

1. Who We Are

Center for Practical AI ("CPAI," "we," "us," or "our") is a 501(c)3 nonprofit organization (EIN: 99-0976974) located at 110 Corcoran St, 5th Floor, Durham, NC 27701. This Privacy Policy explains how we collect, use, and protect information when you visit our website at cp-ai.org.

2. Information We Collect

Information You Provide

  • Contact forms: Name, email address, and message content when you submit a contact, partnership, or training inquiry.
  • Newsletter sign-up: Email address when you subscribe to our mailing list (managed through Mailchimp).
  • Event registration: Personal information collected during event registration is governed by Eventbrite's privacy policy and Luma's privacy policy, as applicable.
  • Event feedback: Ratings and comments you choose to submit through our post-event feedback survey. Identifying yourself on that survey is optional.
  • Job applications: If you apply for a role with us, the information described in Section 5 below.

Information Collected Automatically

  • Usage data: Pages visited, time on site, referring URLs, browser type, and device type, collected through analytics tools (if/when enabled).
  • Cookies: We may use cookies for site functionality. See Section 7 for details.

  • Improve our website and programs based on usage patterns

We do not sell, rent, or trade your personal information to third parties.

5. Job Applicants

If you apply for a role through our careers page, this section describes how we handle your information. It applies in addition to the rest of this policy.

What we collect

Your name, email address, and optionally your phone number and general location; the résumé and/or profile link you provide; your written response about the role; your answers to two work-authorization questions; and how you heard about the opening.

We do not ask for and do not want your date of birth, Social Security number, race or ethnicity, gender, disability status, marital or family status, a photograph, graduation dates, or your salary history. Please do not include this information in your application. If you send it anyway, we will not consider it in any hiring decision.

How we use it

Solely to evaluate you for the role you applied to, to communicate with you about your application, and to keep the records a nonprofit employer is expected to keep. We do not add applicants to marketing lists, and we do not share your application with anyone outside the people involved in that hire.

No automated decision-making

We do not use artificial intelligence or any automated system to screen, rank, score, filter, or reject applicants. Every application is read by a person. We teach people to use AI well, which includes knowing where not to use it.

Where it is stored

Applications are stored on a private applicant tracking board in Monday.com, accessible only to the people involved in the hire. Résumés are stored on that same record. We do not copy application materials into other systems.

How long we keep it

We delete applicant records one year after the hiring decision for the role you applied to, unless you are hired (in which case relevant records move into your personnel file) or unless a longer period is required by law. You may ask us to delete your application sooner at any time — email contact@cp-ai.org and we will do it.

Accommodations

If you need an accommodation to apply or to interview, email us and we will arrange it. Requesting an accommodation will never be held against you, and we do not retain accommodation requests as part of your application record.

6. Data Retention

We retain contact form submissions for as long as necessary to respond to your inquiry and for a reasonable period thereafter. Newsletter subscriptions are maintained until you unsubscribe. Job applications are retained as described in Section 5. You can request deletion of your data at any time (see Section 8).

7. Cookies

Our website may use cookies to remember your preferences and analyze site traffic. You can control cookies through your browser settings. Disabling cookies may affect some site functionality.

8. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Opt out of marketing emails at any time (use the unsubscribe link in any email)

To exercise any of these rights, email us at contact@cp-ai.org with the subject line "Privacy Request."

9. Security

We take reasonable measures to protect your information from unauthorized access, disclosure, or misuse. These include restricting applicant records to a private board visible only to the people involved in a hire, validating and size-limiting any file you upload, rate-limiting our application endpoint, and keeping personal information out of our server logs. However, no internet transmission is completely secure, and we cannot guarantee absolute security.

10. Children's Privacy

Our website is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us to have it removed.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the site after changes constitutes acceptance of the updated policy.
